Greetings from The New Sanno. To begin, we would like to sincerely thank and express our genuine gratitude to all of our Active Duty & Civilian first responders, healthcare professionals, and the countless support teams in varying roles here in Japan and in the United States. Your continued work on the front lines of the COVID-19 pandemic to ensure both Health & Wellness and Mission Readiness is greatly appreciated.

At The New Sanno, the safety and wellbeing of our guests and staff remains our top priority, and our current primary mission focus. Here in Tokyo, we are still in a critical juncture in regards to COVID-19.  Based on recent Department of Defense guidance and Government of Japan emergency implementations, The New Sanno Hotel will extend our temporary closure thru 14 JUN. We are planning a phased approach to reopening, and will release the details of this on our Website and Facebook page in very near future. We will continue to use this time to assess our situation and to ensure that we are taking the necessary actions to do our part in supporting the current mission, and help contain and minimize the spread of this virus here in Japan and The United States moving forward.

To date, there have been no reported cases of COVID-19 at The New Sanno Hotel.

Our team is working to ensure a smooth return process and looks forward to welcoming back guests. We will continue to closely monitor the situation in coordination with USFJ, CNRJ and GOJ and will make our determinations based on the safety of our guests, staff, and community. All cancellation fees will be waived during this time.

At The New Sanno, the safety and wellbeing of our guests and staff is always a top priority, and our current primary mission focus. Here in Tokyo, we are still in a critical juncture in regards to COVID-19, and must do our part to support both local guidance and the DoD mission.  The New Sanno Hotel will extend our temporary closure effective 1200 PM 1 April 2020 thru 14 May 2020. Only employees of the hotel will be permitted access during this time. We will also use this time to assess our situation and to ensure that we are taking the necessary actions to do our part in supporting the current mission, and help contain and minimize the spread of this virus here in Japan and The United States moving forward.

There have been no reported cases of COVID-19 at The New Sanno Hotel.

Temporary Closure of The New Sanno Hotel

At The New Sanno, the safety and wellbeing of our guests and staff is always a top priority. We are very proud to call Tokyo home and respect our Host Community significantly. Based on the Tokyo Governor’s determination that we are currently at a critical juncture in regards to COVID-19, and a call on residents to stay home this coming weekend, The New Sanno Hotel is issuing a temporary closure effective 1200 PM 27 March 2020 thru 1200 PM 1 April 2020. Only employees of the hotel will be permitted access during this time. We will also use this time to assess our situation and to ensure that we are taking the necessary actions to do our part in supporting the current mission, and help contain and minimize the spread of this virus here in Japan and The United States moving forward.

There have been no reported cases of COVID-19 at The New Sanno Hotel.

Our team is working to ensure a smooth process and looks forward to welcoming back guests after 1 April 2020, or until further determinations are made, with new updates to follow. We will continue to closely monitor the situation in coordination with USFJ, CNRJ and GOJ and will make these determinations based on the safety of our guests, staff, and community. Until that time, guests will be asked to return to their duty/home station, departing here NLT 1200 noon tomorrow. Guests that remain here are welcome to stay during this time, but asked to stay indoors until the closure is lifted. All cancellation fees will be waived during this time.

Dear Valued Guests,

Greetings from the New Sanno Hotel!  We hope you and your family are safe and healthy during these challenging times.  In advance preparations for the probability of the 2020 Tokyo Olympics being postponed or cancelled we here at the hotel are preparing the best that we can. Further, due to current COVID-19 challenges we are all facing, which includes workforce reshaping, we have put the following plans in place:

If the Olympics are “postponed” to 2021:

All Guests whom have/had a reservation for the 2020 Olympic July/ August 2020 period will automatically have a reservation for the new 2021 dates that are projected. The new reservation will transfer as to sequence of days reserved. If you have a reservation for the first three days in 2020 then you will automatically have a reservation for the first three days of the new 2021 cycle.

Once we have confirmation of the new dates, all of this information will have to be transferred in our system manually, so please give us 14 business days and you will receive a new confirmation letter as to the revised reservation.  There will be no cancellation charges during this transition.  Once your reservation is transferred, our 7 day cancellation policy remains.

Please note: that if the new dates announced are within a 6 month period from the day we implement, we will then work individually case by case, doing our best to accommodate, though dates likely will not match what you had planned for the 2020 Games.

If the Olympics are “cancelled”:

If the Olympics are cancelled and you would like to keep your reservation please email us at room_rsv@thenewsanno.com and we will send you a new confirmation message and keep your reservation. Otherwise we will go ahead and cancel all other reservations for the dates of July 22nd through August 10th 2020.

At The New Sanno, the safety and wellbeing of our guests and staff is always a top priority. We have been closely monitoring the COVID-19 situation and for precautionary measures, we have been following the recommended procedures and protocols provided by USFJ, CNRJ, WHO, CDC, local health departments, and military medical professionals.

Management discussions are ongoing to oversee and execute safety plans and procedures which are shared with all of our staff. Our wish is to minimize disruption to our mission of hospitality while providing a safe and trusted environment.

We are responding and reacting quickly.  And while there are too many protocols in place to list, we wanted to highlight a few key initiatives we are taking. Over the coming days, you may notice some new implementations in our operations designed to assist in our role of keeping everyone safe.

First and foremost, our biggest asset has always been our people.

  • All of our hotel staff have been carefully briefed on this situation and trained on the importance of personal hygiene as the most effective way to prevent the spread of the illness.
  • Please note that some of our team members will be wearing face masks as a protective measure.
  • Sick employees will not only be told to stay home, they will be compensated to do so due to proactive measures by both the US government and GOJ.
  • We require all employees that are not feeling well to contact their supervisor before coming to work and supervisors will follow up on each staff member that stays home sick.
  • Employees that are sick with COVID-19/Influenza-like symptoms must receive medical clearance from a healthcare professional before being permitted to return to work.

We are adding new roles to our team, where possible, to keep areas clean and initiatives met.
As a precautionary measure, you will see hand disinfectant dispensers in various areas of the hotel.

  • Entrance of Hotel, basement parking entrance, 1st floor and 2nd floor elevator entrances, and a rotating dispenser based on operational need. We will be placing at additional locations as product becomes available.

We are cleaning and sanitizing our facilities, equipment, and high-touch points regularly with recommended disinfectants. With a focus on the front desk counter, elevator buttons, door handles, public bathrooms, dining tables, menus, telephones, Point of Sale systems, hand rails, and even room keys.

Guest Reservations:

  • For any guests with existing reservations for any future arrival date, will allow full changes or cancellation without a charge up to 24 hours prior to arrival, as long as the change or cancellation is made by May 11, 2020.
  • Keep in mind that any changes to existing reservations will be subject to availability and possible rate differences.
  • Group bookings during March and April can be rebooked for any time in the next 12 months without penalty.
    • Consistent with DoD guidance for military and civilian employees
  • Guests are required to refrain from visiting the hotel for a period of 14 days if you have recently returned from any Level 2 country (“limited community transmission”) as defined by the CDC – https://www.cdc.gov/coronavirus/2019-ncov/travelers/index.html.
    • This restriction also applies to members who have transited airports in any of those countries.

Guest Rooms:

  • We are using cleaning and disinfecting protocols to clean rooms after guests depart and before the next guest arrives, with particular attention paid to high-touch areas and items. All laundered items are cleaned in-house with new machines and a higher temperature focus, separated and tagged as needed.

Back of the House:

  • In the spaces where team members work “behind the scenes,” we are increasing the frequency of cleaning and focusing on high-touch areas like team member entrances, locker rooms, cafeteria, and team member's offices.

Events:

  • We will follow local public health and CNRJ guidance for modifications of events and operations in the event of a change in the Health Protection Condition (HPCON).
    • Please stay tuned to our NSH Website, https://www.thenewsanno.com/, and Facebook page, https://www.facebook.com/thenewsanno, for up to date cancellations as numerous entertainment type events have already been postponed or canceled.
  • Catering & conference bookings:
    • Group bookings during March and April can be rebooked for any time in the next 12 months without penalty.
    • We are suspending all buffet dining options for catering and conference bookings, instead, we will offer ala carte menu options.

Restaurants/Bar:

  • We are using cleaning and disinfecting protocols to clean restaurants throughout the day with particular attention paid to high-touch items. All utilized wares are washed, rinsed, and sanitized, and thru our new dishwasher with a higher temperature and sterilized focus.
  • We will suspend all of our buffet options for Sunday Brunch, Emporium Breakfast, Soup & Salad Bar, & Tex-Mex, Social Hour buffets from today.  We will reassess this decision weekly as information and guidance directs.
    • Sunday option; The Emporium will be open Sundays extended 630am thru 2pm, offering both ala carte breakfast and lunch options.
    • The Emporium will also offer an ala carte breakfast special “all-you-care-to-eat” served from the kitchen, from 630am – 1030am every day.
  • We are removing many of the self-serve condiments from tables. Items like ketchup and mustard will be dispensed in the kitchen and served in ramekins.
  • QR codes will be available to view our restaurant menus on your smartphone should you prefer electronic viewing in place of being handed a menu. Our physical menus are cleaned and sanitized throughout the day between customers.
  • Our dining rooms may look a little different. We have removed a table or two and, when possible, we are seating customers with more distance between tables.

Take-Out & Room Service:

  • If you want to stay safe in your room, we are ready to help. Room service is ready for you.  We have temporary eliminated room service fees to encourage this option. Room service gratuity is at the guest discretion.
    • We are happy to offer contact-less Room Service food delivery options for our in house guest. (to-go supplies/left at your door)
  • We have increased our offerings for takeout, grab & go options throughout.

Security:

  • The touchless ID policy is an effort to minimize the exposure and spread of germs to both security members and visitors.
  • Visitors accessing the NSH will be directed to maintain possession of their IDs while the sentry verifies the ID for authentication and validation.
  • The sentry will verify the picture/s to the visitor/s, authenticate the identification as valid credential for entry to include expiration date and sign of tampering/alteration.
  • The sentry will direct visitors to flip their ID to the back as part of the verification process.
  • The sentry will direct drivers of vehicles to collect all ID cards of all passengers and preset as outlined above.
  • Once validation is completed by Sentry, the Sentry will allow access to the facility.
    • Consistent with DoD guidance for military and civilian employees
  • Guests are required to refrain from visiting the hotel for a period of 14 days if you have recently returned from any Level 2 country (“limited community transmission”) as defined by the CDC – https://www.cdc.gov/coronavirus/2019-ncov/travelers/index.html.
  • This restriction also applies to members who have transited airports in any of those countries.
  • The sentry will direct visitors to show their Passport as part of the verification process

Parking:

  • Although we appreciate your business and understand your focus to increase social distancing while traveling, please understand that The New Sanno has limited parking available on a first-come, first-served basis.  Parking overnight is only permitted for overnight guests and your license plate number is required at check in. There are various parking areas in close proximity to The New Sanno available for a charge.  Day parking at The New Sanno when not using The New Sanno facilities is not permitted.

Responsibility starts with You & I.

  • Please continue to practice personal responsibility:
    • Avoid close contact with those whom are sick.
    • Avoid touching your eyes, nose, and mouth with unwashed hands.
    • Cover mouth/nose with a tissue or your sleeve (not your hands) when coughing or sneezing.
    • Wash your hands well and often with soap and warm water for at least 20 seconds and use an alcohol based sanitizer.
    • Avoid handshaking where possible.
    • Get plenty of sleep, eat healthy, and exercise to stay strong.
  • What to do if you are worried that you are ill, and symptomatic:
    • Have you visited an endemic area or were in close contact with anyone that has, and has recently returned to Japan?
    • Do you have a fever of 37.5/100.5 or higher and experiencing respiratory ailments?
    • DOD
      • Immediately notify your unit and cognizant medical department representative. (Call ahead)
    • OTHERS
      • While in Tokyo and worried, you can call the Tokyo Novel Coronavirus General Consultation Call center @ 0570-550571 (0900-2100).
      • While in Tokyo and symptomatic, you can call the Tokyo Novel Coronavirus Patient Consultation Call center @ 03-5320-4592 (24 hrs/day).
